Q. How do I schedule synchronous class sessions in Webex inside Canvas?

Answer

  1. If you do not see the Webex button on the side navigation bar in your Canvas hosted class, visit this tutorial

  2. Click on the Webex button in the class navigation bar to reveal Webex inside Canvas. In some cases, you may have to click on a Continue button to reveal Webex inside Canvas as illustrated in the second image below. (What is Webex inside Canvas? See this brief description in What is Webex? What does Webex inside Canvas mean? Why should I use Webex?)

    Click on the Webex button in the Canvas class navigation bar to reveal Webex inside Canvas. 

    Click on the Webex button in the Canvas class navigation bar. In some instances, you may have to click on a Continue button to reveal Webex inside Canvas.

  3. Click on the Schedule button under the Event Calendar tab to begin scheduling sessions in Webex. Note that the tab label, Event Calendar is misleading. You can schedule any of the three conference types (meeting, event or training) here. 

    Click on the Schedule button inside Webex in Canvas.

  4. Schedule daily or weekly sessions using the following controls:
    1. Create a name for the session. Note this name will appear on the list of upcoming events your students will see. Consider naming the sessions something meaningful to them.
    2. Choose if your session will repeat Daily, or Weekly. Note that choosing to schedule a Single session is covered in item 4 below.
    3. The time zone must always be set to "-04:00 America/New York."
    4. Select the days your sessions should occur.
      Set a time for your sessions to begin.
      Set a date for the sessions to start and end.
      Set the duration of the sessions.
    5. If you are team-teaching a class, each of your names will appear in this list. Choose your name from the list for sessions you are scheduling.
    6. Select a Conferencing Account for the session. Consider some of the following when choosing one: 
      • We recommend using Webex Events for large classes since all attendee's audio, video, and screen / file sharing are muted by default. 
      • We recommend using Webex Meetings for small classes if you'd like everyone to be able to share their video, audio, and screens / files without granting them permissions. 
      • We recommend experimenting and practicing with Webex Trainings before using it in a class.  Contact us for help with Trainings.

    7. Click Save to finalize the settings for your sessions. 

      Follow these steps to fill out the form to schedule a daily or weekly session.

  6. As you create your sessions, you will see the two most recent ones listed under the Event Calendar tab. The Host button will appear for you 15 minutes before the start of your scheduled session. Students will see a Join button 15 minutes before the session is scheduled to begin.

    Upcoming events will appear in the left side of the Event Calendar panel. The Prepare button will appear on each event in the list. The Prepare button will change to the Host button 15 minutes before the session is scheduled to start.
